Rental Return Policy

Tropical Moto is a car and motorcycle rental service in Siargao, Philippines. When you rent a vehicle from us, you agree to return it under the conditions outlined in this Rental Return Policy. This policy ensures that all rentals are handled fairly and that our vehicles remain in good condition for all customers. Please read the following terms carefully, as they explain your responsibilities for returning rental vehicles. By completing a booking and picking up a vehicle, you acknowledge and accept these return conditions.

Conditions for Vehicle Return:

  • Return Date and Time: Timely return of rental vehicles is required. Each rental has an agreed-upon return date and time, which will be stated in your booking confirmation or rental agreement. You must return the vehicle on or before this agreed return time. If you anticipate being late or need to extend your rental period, you should notify Tropical Moto as soon as possible before the due time. Late returns without prior arrangement may incur additional charges or penalties (for example, an extra day’s rent or a late fee), as outlined in your rental agreement. Returning the vehicle on time helps us honor commitments to the next customer and maintain our scheduling.
  • Return Location and Method: In-person returns at the designated location. All vehicles rented from Tropical Moto must be returned to the specified drop-off location, which is typically the same place where you picked up the vehicle (unless another location is explicitly agreed upon in advance). We operate on a self pick-up and return basis – this means you are responsible for picking up the vehicle in person at the start of your rental and returning it in person at the end. When returning, hand over the vehicle along with its keys and any accessories (such as helmets, locks, or documents provided) to a Tropical Moto representative. We do not offer shipping, delivery, or remote drop-off services for rentals. Vehicles cannot be “mailed” or shipped back to us. You must physically bring the vehicle back; we do not accept returns via courier or third-party delivery. Ensuring the vehicle is returned directly to our staff allows us to inspect it and formally conclude the rental with you present.
  • Vehicle Condition: Return the vehicle in the same condition as provided. You are expected to take good care of the rental vehicle during your rental period. When you return it, the vehicle should be in the same condition as when it was handed over to you, without any new damage or excessive wear and tear. “Same condition” means that the vehicle is as clean as reasonably possible, and free from dents, scratches, broken parts, or mechanical damage that was not present at pickup. Normal, minor wear from gentle use is acceptable (for example, slight dust or the expected engine mileage), but any significant issues will be noted. Upon return, a Tropical Moto staff member will inspect the car or motorcycle with you to compare its condition against the pre-rental inspection report. If the vehicle has sustained any damage, has missing parts/accessories, or is excessively dirty beyond normal use, you may be held financially responsible for the cleaning, repair, or replacement costs. We will document any such issues and discuss the next steps, such as providing an invoice for repair or deducting the cost from your security deposit (if a deposit was collected). By adhering to proper use and care, you can avoid any additional charges and ensure the vehicle remains in great shape for the next renter.
  • No Refunds for Completed Rentals: All rental sales are final once the rental period begins. Tropical Moto maintains a no-refund policy on completed rentals. This means that once you have picked up the vehicle and your rental period has started, the rental fee is non-refundable, even if you return the vehicle early. There are no partial refunds or credits for unused rental days or hours. For example, if you rent a motorcycle for three days but decide to return it after one day, you will still be charged for the full three-day rental period as originally agreed. Similarly, if you change your mind after taking possession of the vehicle or if you end up not using the vehicle during your rental term, you will not receive a refund. The rationale behind this policy is that once a vehicle is reserved and rented to you, it’s made unavailable to other customers for that time, and operational costs have been incurred to service your reservation. Note: This no-refund rule applies after the rental has begun. If you need to cancel or modify a booking before your scheduled pick-up time, please refer to our cancellation policy (if available) or contact us – different terms may apply for pre-rental cancellations or modifications. But once the vehicle is in your possession, the charges are final.
  • No Shipping or Delivery of Vehicles: Pick-up and return must be done in person. Tropical Moto does not provide any shipping or long-distance delivery service for our rental vehicles. Customers are responsible for picking up the vehicle in person at the start of the rental and returning it in person at the end of the rental. We will not ship or deliver a vehicle to your location, nor can we accommodate having a vehicle sent back to us via postal mail or freight. This policy ensures that vehicles are handed over safely and inspected in person by both the customer and Tropical Moto staff. It also helps avoid any damage that could occur during shipping. All rentals, therefore, require a face-to-face handoff at pick-up and drop-off. If you are unable to return the vehicle in person for any reason, you must contact us immediately to discuss the situation – unapproved failure to return a vehicle to the proper location could result in additional fees and potential legal action for vehicle recovery.
